Executive Assistant for a Food Retail Company

The duties and responsibilities of an executive assistant include:

* Performing administrative duties for executive management.
* Screening calls to appropriate party promptly and efficiently
* Preparing reports and financial data, training and supervising other support staff, and customer relations
* Arranging travel schedule, reservations and meetings for executive management as needed
* Requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
* Communicating and handling incoming and outgoing electronic communications
* Reviewing and summarizing miscellaneous reports and documents; preparing background documents and outgoing mail as necessary
* Prioritizing and managing multiple projects simultaneously, and following through on issues in a timely manner
* Preparing billing statements payable by Franchisees
* Preparing electronically filed reports with BIR, SSS, Payroll and secures them before due dates
* Handling of Tax Returns and Remittances
* Handling Inventory and Ordering System (a software application that receives orders from stores/outlets

QUALIFICATIONS
* Bachelor degree required ( a graduate of a Business degree preferred)
* Has 3 + experience supporting at the executive level
* Preferably female, between 27-30 years old
* Strong computer and internet research skills; knowledgeable with MS Office programs, including Word, Excel, PowerPoint and Outlook
* Proficient in IT application relevant to inventory management and sales
* Proficient in written and verbal communication skills
* Has experience on project coordination
* Excellent calendar management skills, including the coordination of complex executive meetings; pays good attention to details
* Exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.
* Excellent interpersonal skills, can interact with all levels of internal management and staff, as well as outside clients and vendors
* Possesses the ability to work at a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
* Strong decision making ability
* Able to work independently with little or no supervision
